RESPONSIBILITY

Default Occupancy/Cancellation of Exhibit Space:

Any exhibitor failing to occupy space contracted for is not relieved of obligation of paying full rental price for such space, & HCHANJ shall have the right to use such spaces as it sees fit to eliminate blank space in exhibit area, provided such contracted booth space is not occupied one hour after set-up time begins.

Additionally, there will be no refund of exhibitor fee if contract is canceled by exhibitor 14 days or less (May 26, 2026) prior to June 9th event date. Cancellation before that date requires payment of 30% of the exhibit fee.

Insurance:

Exhibitors shall indemnify & hold harmless HCHANJ, its authorized agents & Harrah’s from all liability for:

Damage or loss resulting from fire, theft, accident, or other causes.
Any injury that may occur to show visitors, exhibitors, their agents, employees or others. Each exhibitor must secure insurance at his/her own expense.

Fire, Safety, Health:

Exhibitors must assume full responsibility for compliance with local, city & state ordinances & regulations covering fire, safety & health.

Table coverings & booth equipment must be non-flammable material. All decorative materials must be fire-resistant & in accordance standards established National Board of Fire Underwriters. Certificates attesting that all materials referred to herein have been flame proofed must be notarized & submitted upon request. Flame proofing, not in accordance with applicable codes, is a violation & unacceptable.
All exhibit equipment/materials must be contained within booth & protected adequately to pose no danger to other exhibitors/participants. Exhibits which produce high noise levels or offensive odors will not be permitted.

SECURITY

Exhibitors must provide for security of their goods, materials, equipment & general display at all times. HCHANJ will not be responsible for loss or damage of any material for any cause.

MISCELLANEOUS

Food and Beverage:

All food & beverages must be supplied by hotel. No food/beverages served in exhibit area unless written permission obtained from HCHANJ prior to event.

Registration of Visitors:

All persons/exhibitor personnel visiting conference required to register with HCHANJ & wear name badge. Unregistered company employees may not walk the exhibit floors.

Sales and Signs:

The exhibition is not a specific sales facility for individual exhibitors. Its purpose is promotion of interest in, & demand for, industry’s products & services, & it is conducted in manner assumed to achieve that purpose. No printed information distributed & no signs displayed stating any sales were made during exhibition. The right to exhibit doesn’t constitute HCHANJ endorsement of product or service.

Distribution of Promotional Items:

Only at exhibit booth or by HCHANJ via promotional advertising, not distributed in hotel/unauthorized space.
